Documentation Checklist

Organize Your Files
  • Once you have finalized the transaction, we recommend that you immediately organize your files for easy access later. You will be referring to the lease document from time to time and should ensure that it is always accessible. (It is not one of those documents that should go to cold storage.) Also, if you want to make renovations or changes later all the documentation to the construction process should also be handy.

    Lease Documentation

    • Executed lease document lease document
    • Insurance certificate
    • Building manager's name and number
    • Working group list with all other contact information of all parties including:
      • all individuals dealt with at the landlord company
      • all individuals dealt with at the leasing company (if applicable)
      • the landlord's attorney
      • the attorney retained to negotiate the lease (especially if different from your regular attorney)
      • all consultants used during the process
      • all internal personnel involved in the process.

    Construction Documentation

    • Employment agreements with all consultants
    • Due diligence reports/letters/documentation/drawings from consultants
    • Draft and final construction drawings, bidding documents
    • Minutes from each construction meeting.
